The Wardogs Competitive League is an independent, community-run online competitive league.

WCL is responsible for determining how and why personal data collected through WCL services is used.

Questions or requests concerning your personal data can be directed to League Administration through the official WCL Discord server.

WCL deliberately collects as little personal information as reasonably possible.

Discord information

When you connect your Discord account to WCL, we may receive and store:

• Your Discord user ID
• Your Discord username and display name
• Your Discord avatar
• Your WCL staff role, if a league administrator assigns one

We do not request your Discord password, private messages, friends list or Discord email address.

League information

We also create and store information necessary to operate your participation in the League, which may include:

• Team membership and roster status
• Team leadership status
• Free Agent status
• Team applications and join requests
• Season, fixture and competition participation
• Acceptance of the WCL Terms & Conditions
• Confirmation that you declared yourself to be at least 18 years old
• Administrative or disciplinary records where applicable

WCL records that you confirmed you are at least 18 years old. We do not require your date of birth merely to make that declaration.

Technical information

Our website and hosting infrastructure may process limited technical information such as IP addresses, request times, browser information and security or error logs where necessary to operate, troubleshoot and protect the service.

We use this information only for purposes connected with operating and protecting the WCL.

• Logging you into your WCL account through Discord
• Identifying registered participants
• Managing teams, rosters and Team Leaders
• Processing team registrations and join requests
• Operating the Free Agent system
• Managing seasons, divisions, fixtures, results and standings
• Assigning WCL staff permissions within the website
• Administering player eligibility
• Enforcing the WCL Rules & Regulations
• Investigating reports or competitive integrity concerns
• Maintaining league records
• Securing and maintaining WCL services

WCL processes personal data only where there is a lawful basis to do so under applicable data-protection law.

Information necessary to register and administer your participation is processed because it is necessary to provide the WCL services you choose to use and administer your participation under the WCL Terms & Conditions.

WCL also has legitimate interests in operating a fair and secure competition, maintaining accurate league records, preventing abuse, enforcing league rules and protecting competitive integrity.

Where processing is required by law, WCL may also process or retain information in order to comply with that legal obligation.

WCL is a competitive league, so some information about participation is intended to be visible to other participants or the public.

Depending on how you participate, this may include:

• Your Discord display name
• Your Discord avatar where displayed
• Your Team membership
• Your roster status
• Your Team leadership status
• Your Free Agent status
• Your participation in WCL competitions

Team rosters, fixtures, results, standings and other competition records may remain publicly visible as part of the historical record of the League.

Access to non-public WCL information is limited according to the responsibilities of the person accessing it.

Information may be accessible to:

• League Administrators where necessary to operate and administer the League
• Team Leaders where necessary to manage their own Team
• Referees where information is relevant to fixtures or matters assigned to them
• Service providers used to host, secure or operate WCL systems
• Discord where necessary for authentication

WCL may also disclose information where required by law.

WCL does not sell participant information to advertisers, data brokers or other third parties.

Discord is used as WCL's primary authentication and participant identity system.

When you log in through Discord, Discord confirms your identity and provides the limited account information required by WCL.

Team membership, Free Agent status and staff permissions are maintained within WCL. The website does not currently change roles on Discord servers.

Discord is a separate service and processes information under its own terms and privacy policy. WCL does not control Discord's independent processing of your data.

WCL keeps identifiable personal information only for as long as it is reasonably necessary for the purpose for which it was collected.

• Active account, team and roster information is kept while it is necessary for league participation.
• Pending applications and join requests may be removed after they have been processed and are no longer administratively useful.
• Free Agent status is retained until it is deactivated or otherwise ceases to apply.
• Terms acceptance and eligibility declarations may be retained for a reasonable period as evidence of the conditions under which participation occurred.
• Disciplinary records may be retained for as long as reasonably necessary to enforce sanctions, identify relevant previous offences or protect competitive integrity.
• Technical and security logs are retained only for an appropriate period for security, troubleshooting and abuse prevention.

Fixtures, results, standings and similar competition records may be retained indefinitely as part of the historical record of the League. Where continued identification of an individual is unnecessary, personal information may instead be removed or anonymised.

Information may be retained for longer where required by law or reasonably necessary to establish, exercise or defend a legal claim.

Under applicable data-protection law, you may have rights concerning the personal data WCL holds about you.

Depending on the law and circumstances applicable to you, these may include the right to:

• Ask what personal data WCL holds about you
• Request a copy of your personal data
• Correct inaccurate personal data
• Request deletion of personal data where the right to deletion applies
• Request restriction of processing in applicable circumstances
• Object to certain processing based on legitimate interests
• Receive certain personal data in a portable format where the right to data portability applies

These rights are not absolute in every circumstance. WCL may, for example, retain information where there remains a lawful reason or legal obligation to do so.

To make a privacy request, contact a League Administrator through the official WCL Discord server and state that your request concerns your personal data.

WCL may take reasonable steps to confirm that the request genuinely comes from the person whose information is being requested.

WCL takes reasonable technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure.

Administrative access to WCL systems and non-public information is restricted according to league roles and responsibilities.

No internet-connected service can guarantee absolute security. If WCL becomes aware of a personal data breach, it will assess and respond to the incident as required by applicable law.

WCL may use cookies or similar browser storage where necessary to keep users logged in, maintain account security and provide essential website functionality.

WCL does not use advertising cookies as a condition of participation.

If WCL later introduces non-essential analytics, advertising or tracking technologies, this Privacy Policy and any required consent controls will be updated before those technologies are used.

WCL does not use personal data to make solely automated disciplinary or eligibility decisions that produce legal or similarly significant effects on participants.

Routine account actions, such as activating Free Agent status, update your WCL record after your request.

If you have a question or concern about how WCL handles your personal data, contact League Administration through the official WCL Discord server.

You may also have the right to lodge a complaint with a competent data-protection supervisory authority under the data-protection law applicable to you.

WCL may update this Privacy Policy when its services, technology, data processing practices or legal obligations change.

The current version number and effective date will be shown at the top of this page.

Where a material change affects how participant personal data is processed, WCL will provide appropriate notice where required.
